REGISTRATION GUIDELINES

On behalf of the 8th Congress of the Asian Society for Neuroanesthesia and Critical Care (ASNACC 2025) organizing committee, it is a pleasure to extend a warm invitation to you to join us at the upcoming 8th ASNACC 2025, in collaboration with the 101st Annual Scientific Meeting of the Royal College of Anesthesiologists of Thailand (101st RCAT 2025). This exciting event will take place at InterContinental Bangkok, Thailand, from the 28th February – 2nd March 2025.

Registration Process

All participants must sign up to Create an Account via the Online Registration Form. Once signed up, participants can log in using their registered email address and password. Congress registration and abstract submission can be processed under the same account. Please read the instructions below carefully.

Note: All congress participants and presenters of accepted presentations must register and pay the registration fees in full.

Remark: ASNACC Country Members are eligible for a group registration rate where, for every 9 paid registrants, 1 additional registration will be granted for free. Eligible countries include Japan, South Korea, India, Indonesia, China, Singapore, Philippines, Malaysia, and Myanmar. Please contact our registration team via email at [email protected] to inquire about group the registration form.

Please make sure to pay your registration fee before the deadline for the selected registration type. If your payment is not received before the deadline date, the late fee will be automatically applied. An unpaid or only partially paid registration will not be considered valid until fully paid.

All registration deadlines are in GMT+7.

Unpaid or partially paid registrations will not be considered as valid until paid in full.

Group Registrations

Group registrations can be processed online under one email address, which is identified by the group administrator. However, each participant needs to have a unique email address. Alternatively, when registering more than ten participants under one company identity/invoice, please contact our registration team at [email protected] to request a group registration form.

Confirmation of Registration

Each participant will receive a registration overview and email notification confirming receipt of payment.

Payment Details

All fees are to be converted and paid in THB (฿); the registrant (payer) is responsible for all bank fees/charges when wiring money from overseas. However, please confirm with your bank as to any possible charges from their side.

A) Online Payment by Credit/Debit Card

  • The preferred method of payment is payment by card online via our secure payment gateway: Online payments service provider: The Siam Commercial Bank PCL
  • Accepted Credit / Debit Cards: VISA, Master

In the unlikely event of a rejected online credit/debit card payment, the delegate is recommended to return to his/her registration online and try to process the payment again. Should the payment issue persist, the participant is advised to contact the card issuer/bank first to check for any potential block on the online transaction. Or contact our registration team at [email protected].

The accepted Currency is THB (฿) only.

B) Payment By Bank Transfer

To ensure your registration is valid, please make sure that any payment made by transfer is free of all bank fees and transfer charges (the registrant (payer) is responsible for all bank fees/charges when wiring money from overseas.). Please also ensure that the registered participant’s name and Registration Number are clearly stated in the bank transfer. Payments received without such details (Name, Registration Number) cannot be easily identified and may not be valid.

C) Payment Receipt

The payment tax receipt will be provided to the participants only upon request, the Secretariat will not send this document automatically. Please contact us to ask for your receipt.

The final invoice will be issued based on the details provided during the registration process (step Contact/Payment Receipt Details)

 

D) Cancellation / Refund Policy

Cancellation of Registration

    • Until 15 January 2025 – THB500 administrative fees will be deducted from all refunds
    • From 16 January 2025 until 14 February 2025 – 50% of the fee will be refunded
    • After 14 February 2025 – no refund can be processed
General Cancellation Conditions
  • All cancellations must be notified in writing (by email) to the congress registration team at [email protected]
  • Requests for refunds made after 14 February 2025 will not be considered.
Insurance

The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.

Cancellation or Modification of the Meeting Due to Force Majeure

In the event of a force majeure situation, ASNACC 2025 reserves the right to alter or cancel the Congress without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of a force majeure event shall be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control ASNACC 2025 which prevents or impedes the realization of the meeting. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, plague, or other epidemic such as SARS, covid-19, bird flu, earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism.

Data Privacy and Security

Personal Data Protection:

ASNACC 2025 and participants acknowledge that in the course of this Agreement, they may process personal data of individuals attending the Conference or otherwise involved in the Congress (“Data Subjects”). ASNACC 2025 and participants shall comply with all applicable laws and regulations on personal data protection, including but not limited to the Personal Data Protection Act B.E. 2562 (2019) of Thailand (“PDPA”).

 

  • Purpose of Processing: ASNACC 2025 and participants shall only process the personal data of Data Subjects for the purposes of organizing and conducting the Congress and for any other purposes as may be consented to by the Data Subjects.
  • Data Subjects’ Rights: ASNACC 2025 and participants shall respeencect the rights of Data Subjects under the PDPA, including the rights to access, correct, delete, and object to the processing of their personal data.
  • Data Security: ASNACC 2025 and participants shall implement appropriate technical and organizational measures to protect the personal data of Data Subjects against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access, and any other unlawful forms of processing.
  • Data Transfer: ASNACC 2025 and participants shall not transfer the personal data of Data Subjects to any third party, except as required by law or with the prior consent of the Data Subjects.

This personal data protection clause sets out the Parties’ obligations with respect to the processing of personal data in accordance with the PDPA. It requires the Parties to only process personal data for specified purposes, to respect the rights of Data Subjects, to implement appropriate data security measures, and to not transfer personal data to third parties without consent.
